Create a Custom Invoice

Before invoicing, make sure you’ve fulfilled the service, delivered the product, or reached the agreed-upon milestone (if partial payment is due).

💡 Tip: RateCards makes it easy to generate custom invoices.

 

How RateCards Creates Professional Invoices 


Follow these steps to create your custom professional invoices. There’s 2 ways to get started:

  1. Go to your Profile, tap the menu icon near your name (three vertical dots. Tap the menu item ‘Create Invoice’
  2. In the main menu, accessible from the top left of the screen (three rows). Tap the menu item ‘Create Invoice’

Next Follow these Steps:

  1. Add an ‘Invoice Title
  2. Under the ‘Items‘ section, add your services or add products you’re selling. Add as many as applicable to the job.
  3. Select due date of your invoice in the ‘Payment Term‘ section. Here you can add discounts for loyal customers, first time customers or however you wish to earn customer loyalty.
  4. In the ‘Customer Info‘ section, provide relevant customer information such as Business/Customer Name, Email, Address, etc.
  5. When complete, finalize the invoice and send to your client.

Your invoice may include:

  • Your business or professional name and contact info

  • Client’s name and contact info

  • Unique invoice number

  • Invoice date

  • Description of the services/products provided

  • Amount due (including line items if multiple charges)

  • Payment terms (e.g., “Net 15,” “Due on receipt,” etc.)

  • Due date

Tips to Improve Quality of Your Invoices:

  • Label of Service: Succinct compelling summary of your service.
  • Description: Provide a detailed description about the service you’ll provide for your customer.
  • Payment Amount: Dollar amount and frequency of payment (e.g. Daily, Weekly, Monthly, One-Time)
  • Expenses: Associated expenses to complete the service (e.g. raw materials, inventory, travel, supplies, etc) 
  • Sales Tax: Some geographic locations my require a sales tax on your service. Check local tax laws.


Wait for Payment

Clients usually pay based on the terms you’ve set. If it’s Net 30, they have 30 days. You can:

  • Set reminders for follow-up

  • Add late fees if allowed in your terms

  • Send reminders with messaging tools

FAQ

How do I update my Service labels?

Navigate to the ‘Services’ tab and click on the pen icon for the title you wish to update. Enter your new label and it will automatically update.
